This is a plain-English template for the TradeHQ MVP. Before going live, have it reviewed by a solicitor and confirm it reflects your final data processors and practices.

Who we are

TradeHQ (“we”, “us”) provides job, quoting and invoicing software for trade businesses in Ireland. For the personal data you enter about your own customers, you are the data controller and we are your data processor. For your own account details, we are the controller. What we collect

  • Account data — your name, business name, email, phone and login details.
  • Business data you enter — customers, jobs, quotes, invoices, payments and team members.
  • Billing data — your subscription plan and payment status (card details are held by our payment provider, never by us).
  • Technical data — device, browser and log data needed to run the service securely.

How we use it

To provide the service, process your subscription, keep your account secure, provide support, and meet our legal obligations (for example, tax records). We do notsell your data or your customers' data, and we do not use it for third-party advertising.

Cookies

We use a small number of strictly necessary cookies to keep you signed in and remember your preferences. We do not use advertising or cross-site tracking cookies. You can control cookies through your browser settings; disabling necessary cookies may stop the app working.

Sharing & processors

We share data only with the service providers needed to run TradeHQ — hosting, our database provider, our payment provider and email/SMS delivery — each under a data-processing agreement. We may disclose data where required by law.

Your rights (GDPR)

Under the GDPR you can request access to, correction of, or erasure of your personal data, restrict or object to processing, and request a copy in a portable format. Your platform admin can export or delete a business account's data on request. Email privacy@tradehq.ie to exercise any right. You can also complain to the Irish Data Protection Commission (dataprotection.ie).

Retention & security

We keep your data for as long as your account is active and as required for legal and tax purposes, then delete or anonymise it. Data is stored on secure servers within the EU and protected with encryption in transit and access controls.

Changes

We'll update this policy as the service evolves and note the date at the top. Material changes will be notified in-app or by email.
